SharePoint Library Scanning Services

DRC provides SharePoint document scanning for organizations whose SharePoint sites sit half-empty because the records people need are still on paper. We scan your back-file and day-forward documents straight into your libraries, filed in the right folders and tagged with the metadata your users already search on, so your Microsoft SharePoint investment covers your paper records too.

SharePoint Document Scanning Mapped to Your Libraries

Every document arrives in SharePoint ready to use, with no rescanning or manual tagging by your staff. Your team finds a scanned contract the same way it finds a Word file: by searching or browsing the library.

  • Documents: back-file archives and day-forward paper, from letters and forms to bound files.
  • Output: text-searchable PDF files, with full-text OCR.
  • Metadata: your content types and metadata columns filled in at capture, including text, date and number fields and Managed Metadata terms.
  • Delivery: loaded straight into the right SharePoint library and folder, so search and library views work on day one.
  • Ready for Microsoft Search and Copilot: OCR text and metadata are already in place, so both can work with your scanned records without reprocessing.
  • One process: the same workflow handles the archive you have and the paper that keeps arriving.

How It Works

  1. Library review: we look at your SharePoint sites, libraries, content types and metadata columns.
  2. Field mapping: we agree with you which index fields fill which columns and how folders are named.
  3. Secure pickup and preparation: documents are collected under chain of custody and prepared for scanning.
  4. Scanning and indexing: each document is scanned, OCR'd and indexed to your mapped fields.
  5. Upload: files are loaded into the right library and folder with their metadata attached.
  6. Validation: we check file counts, metadata and permissions against your records before sign-off.

Compliance and Security

DRC is certified to CAN/CGSB-72.34-2017, Electronic Records as Documentary Evidence, so the digital records we produce are built to stand up as evidence and to support disposal of the paper originals. Our NAID AAA certification covers secure destruction of paper once you approve it. DRC holds federal security clearance at the Protected B level for document safeguarding, and every box and file is tracked under documented chain of custody from pickup to delivery.

Because capture follows CGSB 72.34, the SharePoint copy is built to serve as your official record, so paper can be retired on your retention schedule.

Who It's For

  • Organizations standardized on Microsoft 365 and SharePoint
  • Records and information management teams setting up governed libraries
  • Departments moving off shared drives and paper filing rooms
  • Project and program teams that need one shared home for their files
